Talent Acquisition PMO Support Specialist

Location & Schedule: Required to be onsite 100% (5 days/week) in Palm Beach Gardens, FL 33418 | Requires polished, professional in-person presence

Position Overview

The TA PMO Support Specialist is the tactical driver keeping strategic recruiting initiatives moving at full speed. This hands-on, high-urgency role focuses on driving accountability, enforcing project discipline, and clearing operational friction points. We need a proactive operator with a "roll-up-your-sleeves" mindset—someone who stays one step ahead, tracks every detail, and believes no task is too small if it keeps hiring on schedule.

Key Responsibilities

  • Action Tracking & Accountability: Maintain project logs, actively chase open deliverables, and follow up with cross-functional owners to ensure tight deadline compliance.
  • Tactical Bottleneck Clearing: Jump in hands-on to unblock hiring friction—whether auditing ATS pipelines, re-tagging requisitions, or coordinating urgent recruiting pushes.
  • PMO Reporting: Prepare weekly executive status updates, aging reports, and pipeline dashboards.
  • Governance & Logistics: Schedule PMO alignment meetings, capture real-time decision logs, and immediately distribute actionable post-meeting summaries.
  • Proactive Risk Flagging: Anticipate upcoming project delays or non-responsive workstreams and flag them early to leadership with potential solutions.

Required Qualifications & Competencies

  • Location & Presence: 100% Onsite (5 days/week) at the client location in Palm Beach Gardens, FL 33418, demonstrating professional polish, adaptability, and a strong face-to-face client presence.
  • Mindset: Strong sense of urgency, bias for action, extreme personal ownership, and a "nothing is beneath me" attitude.
  • Communication & Delivery: Collaborative persistence paired with a hands-on, "roll-up-your-sleeves" approach driving results, keeping stakeholders accountable, and stepping in wherever needed to clear bottlenecks without damaging relationships.
  • Experience: 3+ years in Talent Acquisition operations, recruiting coordination, or project coordination within client-facing or matrixed environments.
  • Technical Skills: Solid grasp of the recruiting lifecycle, ATS platforms (e.g., Workday), reporting tools (Power BI, advanced Excel/spreadsheets), Powerpoint presentations and project management software (e.g., Asana).
