about the job

We are looking for a highly organized and detail-oriented Business Service Specialist to join our dedicated Managed Services Provider (MSP) team. You will act as the operational backbone of the account, providing critical administrative, compliance, and systems support for our contingent labor and consulting services program.

You will work closely with client hiring managers, staffing suppliers, and internal onsite teams to ensure smooth daily operations, precise data management within our VMS, and excellent service delivery.

Location: Budapest, Hungary (Hybrid - once a week office attendance)

what you will do

  • VMS & Data Management: Extract contractor/consultant working hours, review data accuracy, and upload/manage time tracking profiles within the Vendor Management System (VMS).
  • Financial & Contract Compliance: Verify pre-invoicing, purchase orders (POs), statements of work (SOWs), and work orders to ensure full alignment with corporate guidelines and commercial agreements.
  • Manager & Supplier Coordination: Proactively follow up with hiring managers and suppliers on recurring operational tasks, including milestone approvals, timesheet submissions, and upcoming assignment extensions.
  • Communication & Mailbox Management: support the team’s central inbox management, handling daily inquiries from client managers and external vendors with professionalism and speed.
  • Reporting & Presentation Support: Assist the onsite team in pulling data reports, and support creation of presentations.
  • Team Collaboration: Act as an essential support pillar for the onsite Talent Advisors, ensuring administrative tasks are streamlined so the program runs flawlessly.

skills you will need

  • Experience: Previous experience in an administrative support, procurement support, customer service, or shared services role (experience within an MSP, VMS, or HR operations environment is a strong plus).
  • System Savvy: Comfortable handling data sheets and learning corporate enterprise software (experience with VMS platforms is appreciated).
  • Language Skills: Excellent written and verbal communication skills in English & French.
  • Attention to Detail: Exceptional organizational skills with a proven ability to spot data errors in invoices, numbers, and contracts.
  • Interpersonal Skills: A strong team-oriented mindset combined with the communication skills needed to follow up firmly but politely with busy client managers.
  • Expertise in Microsoft Excel, with a proven ability to manage, analyze, and visualize large datasets to streamline reporting and ensure high levels of data accuracy.
