Randstad is rolling out Workday as the new global ERP platform in phases across multiple countries. This initiative aims to standardize and streamline HR, Finance, and Procurement processes. A central source-to-pay support team is being established in Budapest to manage these processes within Workday and ensure a seamless transition.

 

About the Role

The T&E Systems Analyst/Global Expense Configuration Specialist will be an integral part of this team—focused on the day-to-day execution and maintenance of all T&E and credit card related data within Workday. In this role, you won't just support the system—you will provide technical support for our global travel, expense, and corporate card programs within Workday. This is a unique opportunity to use your deep configuration expertise to directly shape global policy and financial compliance.

 

Responsibilities

  • You will manage the end-to-end technical configuration and ongoing maintenance of the T&E function:

 

Expense policy configuration

  • Item & policy maintenance: maintain and support enforcement of complex policy rules for all global expense items, including updating per diem and localized mileage rates.
  • Workflow integrity: maintain the expense report settings in Workday, including configuring sophisticated audit rules, policy violation flags, and security setup.
  • Localization: manage approved configuration changes for localized rules and exceptions where global standards do not apply.

 

Corporate card management

  • Integration ownership: manage the technical setup and ongoing import of corporate credit card transaction files from our banks.
  • Program structure: define and maintain the structure of the corporate card program and accurately assign cards to individual workers and supervisory organizations.
  • System resolution: act as the final escalation point to identify and resolve systemic exceptions and errors within the card transaction import process.

 

Support & training

  • T&E expert: serve as the primary, high-level point of contact for complex employee inquiries and technical issues related to T&E.
  • Knowledge transfer: conduct specialized training sessions for new hires and existing employees on T&E policies and processes.

 

Qualifications

  • Proven configuration expertise: 2+ years of dedicated experience working with and configuring expense management, corporate credit card systems, or financial modules in a major ERP (Workday experience is a significant advantage).
  • Process mastery: demonstrated experience in configuring end-to-end expense and credit card processes, including policy enforcement, audit trail requirements, and user security within an ERP system.
  • Data integrity focus: attention to detail and analytical skills to ensure the accuracy and integrity of expense reports and large-volume bank transaction imports.

 

Required Skills

  • Multinational mindset: previous experience working within a large, multinational or complex organizational structure is highly valued.
  • Exceptional communicator: you possess excellent written and verbal communication skills in English and the ability to articulate complex technical issues clearly and effectively to internal and external stakeholders.
  • Stakeholder resilience: proven ability to work constructively and effectively with diverse individuals, managing expectations and resolving complex, escalated issues with tact and professionalism.
  • Valuable asset: knowledge of Spanish is a plus.
