Are you our new colleague? We’re looking for an  Executive Operations Lead (Contract)

how you will contribute

As the Executive Operations Lead, you will provide high-level operational support to the President, handling complex and confidential situations while resolving conflicts related to administration, vendor management, and business priorities. You will partner with business leaders to drive key projects, administer company standards, and exercise independent judgment on critical matters impacting the management and operation of the business.

your typical day includes

  • Managing and prioritizing the President's calendar, complex travel itineraries, expense reports, and internal correspondence (emails, mail, and calls).
  • Orchestrating weekly leadership calls: setting agendas, managing meeting setups, confirming speakers, generating reports, and tracking action items.
  • Drafting and managing executive communications, including newsletters, memos, presentations, and internal updates.
  • Leveraging multiple technologies to enhance office efficiencies and streamlining everyday workflows.

your responsibilities include

  • Exercising independent judgment and business insight to review branch budgets and gross profit performance to recommend headcount approvals.
  • Coordinating with Real Estate to ensure costs align with budgets and partnering with leaders on final determinations.
  • Negotiating vendor pricing for corporate events and meetings, processing invoices, and ensuring compliance with AR policies.
  • Managing internal HR and system processes (Personnel Transaction Forms, Applicant Tracking Systems, and timesheets).
  • Guiding business leaders on executive directives in alignment with organizational goals and policy.
  • Acting as a subject matter expert to mentor, train, and guide administrative support staff.

your background

  • Education: High School Diploma or GED required; Bachelor’s degree in a related field preferred.
  • Experience: 5+ years of operational support, project management, and/or administrative experience required. Experience in the staffing industry is strongly preferred.
