We’re looking for an Operations Manager (Outreach) to oversee and deliver on process improvements, team leadership, performance monitoring, and continuous improvement

 

How you will contribute

In this role, you will be the proactive bridge between functions, applying your technical proficiency and operational expertise to enhance departmental efficiency and collaboration. You will foster a culture of continuous improvement, encourage innovation, and optimize team workloads to ensure every referral receives high-quality, responsive support that exceeds SLAs.

 

Your typical day includes

  • Directing and developing a distributed team of Enrollment Specialists and administrative professionals.
  • Balancing workforce volume with real-time engagement data to optimize team workloads.
  • Overseeing time card approvals and managing hours tracking for both on-shore and off-shore contractors.
  • Collaborating cross-departmentally to design and execute multi-channel outreach frameworks.

 

Your responsibilities include

  • Team Leadership & Development: Lead the end-to-end "people machine"—from hiring and capacity planning to performance coaching.
  • Strategic Engagement: Leverage CRM infrastructure and marketing principles to drive candidate conversion across diverse populations.
  • Quality Assurance: Establish and maintain quality benchmarks for both the Administrative and Enrollment Specialist teams to ensure a "gold standard" experience.
  • Operational Messaging: Equip your team with high-quality, brand-aligned communication tools by developing and maintaining functional phone scripts, text messages, ad hoc communications, and internal training presentations.
  • Training & Best Practices: Develop and implement training programs to solidify operations teams and ensure continuous improvement of operational best practices.

 

Your background

  • 5+ years of experience in operations and people management.
  • 3+ years of experience overseeing time card approvals and overall contractor management (including hours tracking for on- and off-shore contractors).
  • Proven experience leading distributed and virtual teams.
  • Strong technical proficiency with hands-on knowledge of Tableau, Google Workspace (Google Suite), and ZenDesk.
  • Experience with CMS, Spotler, LMS, Salesforce, and HubSpot is highly desirable.
  • Sales, marketing, and branding experience is a strong plus.
