About the Role

The HR Administration Specialist will be the backbone of our personnel administration, ensuring a seamless experience for our employees in the French market. You will manage the full administrative lifecycle—from the moment a new talent joins us until they move on to their next challenge. You will act as a guardian of compliance, data integrity in Workday, and French labor law adherence.

 

Responsibilities

  • Onboarding & Integration: You will ensure new hires land softly by managing all entry formalities, including contract generation, work permits for non-EU employees, and mandatory French declarations (DPAE).
  • Lifecycle Management: You will own the administrative execution of employee movements, including drafting contract amendments, managing trial periods, and tracking long-term absences.
  • French Legal Compliance: You will handle specific French administrative processes such as work-study (alternance) documentation, medical visit tracking, and interaction with French government portals (SYLAE, AKTO).
  • Data Integrity: You will be responsible for the accuracy of data within Workday, performing regular HRIS audits and ensuring all files are compliant.

 

What you will be doing

Contract & Document Management:

  • Draft employment contracts and complex amendments (retirement transition, transfers, mobility) based on legal rules and group directives.
  • Submit Prior Declarations of Employment (DPAE) and verify work authorizations for foreign employees via French administrative portals.
  • Track signed documents and ensure they are correctly registered in Workday.

HRIS & Employee Data:

  • Manage Workday entries for hirings, re-hirings, job changes, one-off/recurring bonuses, and long-term absences.
  • Perform HRIS audits to validate data conformity between Workday and payroll systems.
  • Manage IT access requests and track the allocation and return of company equipment (vehicles, IT, telephony).

Payroll & Benefits Support:

  • Process requests for meal vouchers (Titres Restaurant), transport reimbursements, and salary advances.
  • Receive work stoppage certificates, verify duration, and notify payroll and Workday.
  • Monitor leave balances (CP/RTT) and manage remote working anomalies.

Student & Specific Administration:

  • Manage the end-to-end administration for work-study programs (Alternance): drafting Cerfa forms, managing AKTO/OPCO relationships, using SYLAE, and processing school invoicing.
  • Enter work accident declarations in AppSheet and manage manual expense reports for leavers.

 

Who you will work with

You will work at the intersection of the local and global HR function, collaborating with:

  • HR Business Partners and Managers: Sending them contracts and updating them on trial periods and leave balances.
  • Payroll Department: Ensuring they receive accurate data regarding absences and variables.
  • New Hires & Employees: acting as their point of contact for integration and administrative queries.

 

What you will bring

You are an organized HR professional with a sharp eye for detail and a strong command of French labor administration.

  • Education: Minimum 3 years of post-secondary education (Bachelor’s equivalent) in Human Resources.
  • Experience: 3 to 5 years of experience in a similar Personnel Administration position.
  • Technical Skills:Proficiency in MS Office and HRIS tools (Workday experience is a strong plus).
  • Soft Skills: You are rigorous, customer-focused, and have excellent planning and organizational skills. You know how to prioritize in a fast-paced environment.
  • Languages: Fluent in French (mandatory for legal documentation) and English (corporate communication).
